Job description

The Senior Administrative Assistant will perform the following:

  • Prepare and maintain documentation, procedures, and methods, including user reference manuals
  • Provide administrative support such as clerical support, data processing, and office administrative organization
  • Develop, draft, write and edit reports, presentations, briefs, proposals, and other documents
  • Assist with calendar, conference room schedules, and meeting invites as needed
  • Obtain and deliver material for management’s scheduled meetings
  • Coordinate and support meetings and special events including coordinating amenities, accommodations, visit requests, and funds collection
  • Maintain customer logs, records, and files including organizational charts, training, and budget
  • Prepare travel requests, accommodations, and coordinate visit scheduling
  • Receive and screen visitors and telephone calls as needed and maintain a professional presence for the office
  • Assist with daily scheduling and monitoring for leadership/executives
  • Organize electronic materials, presentations and documents using databases, servers, and SharePoint sites
  • Prepare, review and process training requests, travel vouchers, conference requests, and personnel related documents
  • Assist with equipment inventory management
  • Assist in transaction level management of budget and bills as requested with financial management
  • Develop, draft, and edit reports, briefs, correspondence, proposals, and other documents
  • Manage document versioning, and other document editing before submitting them for final review, using Microsoft Office Products

Job requirements

Highly organized and professional with a keen attention to detail 

Excellent written and verbal communication skills

Strong knowledge of Microsoft Office suite  (PowerPoint, Excel, Word)
Experience operating standard office equipment including telephones, copy machine, scanners, facsimile machine, computers, printers, and shredders.

High School Diploma or higher.  Bachelor's Degree is preferred.

Top Secret clearance is required

On-site in Huntsville, AL
